Unlike a general freelancer, a VA works as an ongoing, embedded resource inside your business — handling recurring work such as inbox management, diary management, CRM updates, operations and LinkedIn engagement on a regular basis rather than project by project.

The term covers a wide range of support. What is the difference between a virtual assistant and a virtual PA? +

Costs vary significantly depending on how you hire. Freelance VAs in the UK typically charge between £15 and £50 per hour depending on experience and specialisation. Agency-based VA services charge a fixed monthly retainer which includes account management, continuity cover and onboarding support.

IdealPa retainers start from £500 per month for LinkedIn Engagement and from £750 per month for admin and operations support. Executive Assistant support starts from £3,500 per month. Additional hours can be added to any retainer at £40 per hour. All retainers are invoiced monthly in advance.

How much does it cost to outsource admin in the UK? +

Outsourcing admin through a UK virtual assistant agency typically costs between £750 and £1,750 per month on a flexible retainer, depending on the volume of work and the level of support needed. That covers recurring tasks such as inbox management, diary management, CRM updates, client onboarding, document preparation and sales administration.

Is a virtual assistant cheaper than hiring an employee? +

A part-time UK employee on a pro-rata salary of £28,000 costs an employer over £18,000 in the first year once you factor in employer National Insurance at 15%, minimum pension contributions, recruitment fees of typically £1,500 to £3,000, equipment and setup costs and holiday pay.

Can I change my retainer if my needs change? +

Yes. IdealPa retainers flex with your business. You can move between packages with 30 days notice and add additional hours at £40 per hour whenever you need more. There is no minimum term and no long-term lock-in.

Most clients start on the 20 Hour retainer and move up within the first few months as they see what becomes possible when the admin is consistently off their plate.

How quickly can I get started with IdealPa? +

Most clients are up and running within a week of their discovery call. The process starts with a free 15 minute call to understand what your business needs, followed by a scoping session to agree what moves off your plate and which package fits. Onboarding typically takes a single session and most clients feel the difference within the first week of work starting.

Access to your accounts and tools is managed securely. Credentials are shared and stored using secure password management tools rather than plain text or email, so sensitive login details are never exposed unnecessarily.

At the Executive Assistant level, confidentiality is especially important. Associates at this level handle sensitive communications, financial administration and stakeholder relationships and are selected specifically for their discretion and professional judgement. If you have specific confidentiality requirements, these are discussed and documented during onboarding.

Can a virtual assistant replace a part-time employee? +
