Dedicated or shared?
The most important question to ask any VA agency is whether you get a dedicated associate or access to a shared pool. A shared pool means different people handle your work at different times. Each one needs briefing. None of them knows your business. The quality is inconsistent and the relationship never develops.
A dedicated associate learns your business, builds familiarity with how you work and gets better at the job over time. Always choose an agency that gives you a dedicated person.
How does the matching work?
Good agencies match carefully. They take time to understand what the client needs — the type of work, the volume, the tools, the working style — and then match an associate whose skills and experience suit that specific brief. If an agency's matching process is "we will assign you a VA" with no further explanation, that is a warning sign.
What happens when your associate is unavailable?
Holiday, illness, personal circumstances — every associate will be unavailable at some point. A good agency has continuity cover built in as standard. A freelance VA does not. This is one of the clearest practical advantages of using an agency over hiring a freelancer directly.
How flexible is the contract?
Long lock-in contracts are a red flag. The right agency is confident enough in its service that it does not need to tie clients in for six or twelve months. A rolling monthly arrangement with a short notice period puts the client in control. Ask specifically: what is the notice period to cancel or change packages?
Are they honest about fit?
The best agencies will tell a potential client if they are not the right fit. If every call ends with "yes we can definitely help you", that is worth noticing. Honesty about fit at the start of a relationship is a strong indicator of how the agency will behave throughout it.
What do their clients actually say?
Reviews, testimonials and case studies tell you more than any marketing copy. Look for specifics — what type of business, what type of support, what the experience was actually like. Specific, named testimonials from real clients are much more useful than generic five-star reviews with no detail.
