The terms get used interchangeably but they describe very different levels of support. Choosing the wrong one is a common and avoidable mistake.
What a virtual assistant does
A virtual assistant handles the recurring operational and administrative work that needs doing but does not need the founder. Inbox management, diary management, meeting scheduling, CRM updates, client onboarding, research, data entry, sales administration, LinkedIn engagement. Work that is important, repeatable and trainable.
The relationship is task-oriented. The brief is clear. The VA executes it consistently. Good VA support frees the founder from the work that keeps landing on their desk.
What an Executive Assistant does
An Executive Assistant operates at a different level. The relationship is not primarily about completing a task list. It is about someone embedded in the founder's working life who knows their priorities, their stakeholders and their calendar well enough to protect their time, anticipate what is coming and keep things moving without being asked.
An EA drafts correspondence in the founder's voice. Handles sensitive communications with discretion. Manages relationships on the founder's behalf. Prepares briefings for meetings. Thinks ahead. Acts as a genuine extension of the founder rather than an additional pair of hands.
The difference is one of judgement. A VA follows a brief. An EA exercises judgement within a relationship.
How to know which one you need
If the work you need to hand over is clearly definable — here is the task, here is how to do it, here is what good looks like — a VA is the right fit.
If what you need is someone who can think for you, manage your world, handle sensitive matters independently and anticipate what you need before you ask — that is an EA. The distinction is not about how many hours you need. It is about the level of trust, judgement and independence the role requires.
Most founders start with VA support and move to EA level as the business grows. The discovery call is the right place to work out which level fits where you are now.
