There is a version of running a business where the founder does everything. Writes the proposals, manages the inbox, updates the CRM, chases the invoices, books the meetings and then somehow finds time to actually grow the business. That version exists. It is also exhausting and entirely unnecessary.
The test for what stays and what goes
A useful question for every task on your plate: does this require me specifically, or does it require someone competent and reliable? If someone else could do it to the same standard given the right brief and access, it does not need to be you.
A second question: what is the highest value thing I could be doing with this hour? If the answer is not "managing my inbox", that task belongs somewhere else.
Tasks that should come off the founder's desk
Inbox and email management. Reading, sorting, filing, responding to routine correspondence, flagging what needs the founder's attention. One of the most common time drains and one of the most straightforward to hand over.
Diary and calendar management. Scheduling meetings, managing conflicts, sending invites, chasing confirmations, making sure the diary reflects the founder's actual priorities.
CRM management and updates. Keeping contact records current, logging activity, updating deal stages, following up on open leads. Essential work. Entirely repeatable.
Client onboarding and offboarding. Welcome sequences, document collection, access setup, introductory calls scheduled. Important work. Does not need the founder.
Sales administration. Proposals prepared, contracts sent, follow-up emails drafted, invoices raised, payments chased.
LinkedIn engagement and inbox management. Responding to connection requests, engaging with comments, following up on conversations, keeping the pipeline warm.
Research and data entry. Competitor research, prospect list building, data cleaning. Time consuming, important and entirely delegatable.
Travel booking and logistics. Hotels, trains, flights, itineraries. Straightforward to delegate with the right brief and access.
What stays with the founder
Relationships. Strategy. The decisions that only you can make. The sales conversations that require your knowledge and credibility. The direction of the business.
Everything else is operational. And operational work is designed to be systematised and delegated. The sooner that happens, the sooner the founder can spend time on the things that actually move the business forward.
