How to Hand Over Your Inbox Without Losing Control

September 2026 · 5 min read

For most founders, the inbox feels personal. It is where client relationships live, where sensitive conversations happen, where deals are made. Handing access to someone else feels like a significant step. And then they do it, and within a week they cannot believe they left it so long.

The fear is understandable. The risk is smaller than it feels.

The concern most founders have about inbox delegation is losing visibility of something important. An email that needed a personal response getting a generic one. A sensitive thread being handled badly. Something slipping through.

These are legitimate concerns and they are addressed through good briefing, not through keeping the inbox to yourself.

Start with a clear brief

Before handing over inbox access, spend one hour going through the kinds of emails you receive and categorising them.

Action now — emails that need a response today. Your associate handles routine responses and flags anything that needs you directly.

Flag for founder — categories of email that always come to you. New client enquiries. Sensitive conversations. Anything financial above a certain value. Specific people you always want to see emails from.

File and done — confirmations, receipts, newsletters, notifications. Sorted and filed without your involvement.

That brief takes an hour to write and saves hours every week.

Use a shared inbox or delegate access

Most email platforms support delegated access. In Google Workspace you can grant delegate access so your associate works directly in your inbox without knowing your password. In Microsoft 365 shared mailboxes work the same way. Credentials are stored securely using a password manager so nothing is ever shared in plain text.

Build in a daily handover rhythm

The most effective inbox setups include a short daily handover. Your associate sends you a summary of what was actioned, what was filed and what needs your attention. This takes five minutes to read and keeps you across everything without living in the inbox yourself.

Over time, as the associate learns your preferences, even the handover becomes lighter. Most founders find they check in on the inbox far less within a few weeks because they trust that what needs them will reach them.
